How to prepare documentation for first-time imports from China
A first import becomes easier to coordinate when everyone works from the same cargo description, shipment quantities and delivery scope.

Start with one version of the shipment brief
Record the supplier name and pickup location, product description, package count, gross weight, packed dimensions, ready date and final receiving address. Keep the same version available to the supplier and your logistics contact. If these details change, update the brief before relying on an earlier quotation.
The commercial description should be specific enough for the product to be identified. A broad label such as “accessories” can create avoidable follow-up questions; confirm the precise item description and material where relevant.
Which core documents should you check?
The exact set depends on the cargo, route, trade terms and destination. These are common starting points to ask about before dispatch:
- Commercial invoice with seller, buyer, goods, quantities, values and agreed trade term.
- Packing list showing cartons or pallets, net and gross weight, and dimensions.
- Transport document appropriate to the selected mode, such as a bill of lading or air waybill.
- Product-specific certificates, permits or declarations where the destination requires them.
Ask the party responsible for customs filing to confirm the final document requirements for your shipment. This guide is a planning aid, not a substitute for destination-specific advice.
Align the invoice and packing list
Check product names, quantities and package totals side by side. If one document says ten cartons and another says twelve, correct the source information before booking. Make sure the packing method and final measurements reflect how the goods will actually travel, including pallets or repacking.
Connect paperwork with the physical handover
A good document set still needs a clear collection plan. Confirm when and where the cargo will be ready, who can release it, and what packaging or labeling will be complete at pickup. For orders from several suppliers, track each supplier’s ready date and package details separately before consolidation.
Shipping from China to Indonesia
For an Indonesia-bound shipment, compare freight and delivery options using the actual receiving city, cargo readiness and requested handover scope.

Check which origin handling, main transport, destination charges, customs coordination and final delivery stages are included. If a price depends on estimated weight, measurements or a provisional classification, ask when it will be reconfirmed. Avoid comparing totals built on different collection or delivery boundaries.
