What determines shipping costs from China?
Start with one version of the shipment
Before asking several forwarders for a price, prepare one shipment brief. Record the supplier pickup city, destination port or delivery address, product description, package count, packed dimensions, gross weight and cargo ready date. State whether the goods are already packed or whether these figures are estimates.
Ask for the same service boundary each time—for example, warehouse receiving, repacking and delivery to a warehouse are different instructions. If another party already handles a stage, identify that arrangement in the brief so providers can quote the same handover point.
Read the quote in four cost groups
Use these groups to review headings. Actual charges and inclusions may vary by provider and route.
| Cost group | Items to look for | Ask the forwarder |
|---|---|---|
| Origin & preparation | Pickup, packing, warehouse receiving and export-side handling | Which starting location and preparation tasks are included? |
| Main transport | Freight, equipment and related transport surcharges | Which routing, charging unit and validity apply? |
| Destination & delivery | Terminal handling, release, clearance support and onward delivery | Where does the priced service end? |
| Conditional items | Additional storage, waiting or specialist handling | What triggers the charge and who approves the work? |
Understand the unit before comparing the rate
For air cargo, the chargeable weight commonly compares gross weight with volumetric weight. A light but bulky shipment can therefore be rated above its scale weight. The applicable divisor, final dimensions and carrier rules should be confirmed with the provider. For ocean freight, space and container basis for main carriage, LCL quotations can use a weight-and-volume charging basis.
Ask the provider to show the calculation behind the billed quantity. Check whether package measurements include pallets and protective packing, whether minimum charges apply, and how remeasurement is handled. Keep the number of units, the rate per unit and the resulting amount together for comparison.
A simple quote comparison example
The figures below are invented solely to demonstrate arithmetic. They are not market rates or a VG Shipping quotation.
| Confirmed line item | Quotation A | Quotation B |
|---|---|---|
| Origin handling | USD 180 | USD 260 |
| Main freight | USD 620 | USD 540 |
| Destination handling & delivery | USD 320 | USD 410 |
| Illustrative combined total | USD 1,120 | USD 1,210 |
How to compare freight quotes step by step
Match the shipment inputs
Put both quotations beside the same packing list and supplier information. Resolve differences in quantity, dimensions and gross weight first.
Align the delivery boundary
Identify the collection point and the named destination for each quote. Add any missing stage as a question before comparing totals.
Mark the status of every charge
Use included, excluded, provisional or conditional. Request clarification whenever the status is not stated.
Check validity and operational assumptions
Read the quotation expiry, expected ready date and booking assumptions together. Ask what needs reconfirmation if the shipment changes.
Record your decision
Keep the accepted scope, outstanding confirmations and the person authorised to approve additional work in the booking record.
Three gaps worth resolving early
Several suppliers
Name every pickup location and ready date. Ask whether receiving, consolidation and storage fit the requested scope.
A change after packing
Send revised measurements before accepting a quotation based on estimates. Identify any additional palletisation or repacking.
An incomplete destination
A country name alone does not define final delivery. Supply the receiving city and address when destination tasks are being requested.
Connect the cost review with the shipment plan
Once the scope is clear, move to the service page that matches the shipment. Ocean freight covers the sea-freight service decision; International Freight offers the broader transport starting point. For receiving address and route questions, the destination page adds local receiving details.
Questions about shipping costs from China
Can I get a freight estimate before the goods are packed?
Yes. Share the best estimates available and clearly identify any projections. Ask how the quotation will be reviewed when final package count, dimensions and gross weight are available.
Does a door-to-door quote include every possible charge?
No. Only included charges in the written scope are confirmed. Clarify duties, taxes, inspection, storage and other conditional items.
Why can the amount change after a quotation?
Changes to cargo, route, timing, carrier availability or additional tasks can change the amount. Confirm validity and assumptions in writing.
Can supplier consolidation reduce the budget?
It can reduce duplicated collection or handling in some situations, but receiving, storage and release costs must also be considered.
What should I compare besides price?
Compare service boundary, timing, validity, exclusions, responsibility and operational fit.
